Finish strong: final inspections, paperwork, and handover that protect the owner, tenant, and landlord.
Closeout is the fifth and final stage of a tenant improvement. The space may look finished, but the project is not complete until it has passed final inspections, the paperwork is in hand, and the people who will run the space know how its systems work.
A clean closeout also matters financially. Landlords often release the tenant improvement allowance only after receiving closeout documents, and retention is usually paid at this stage.
The punch list captures everything that is not yet right:
Doing the walk before furniture arrives makes problems easier to see and fix.
The space cannot be occupied until the authorities sign off:
Scheduling final inspections early in the last weeks protects the move-in date.
Building systems should be proven before handover:
Training is easy to skip and expensive to skip, because untrained users end up calling for service.
A complete closeout package typically includes:
The landlord usually wants copies, and the tenant needs them for future work.
Money matters wrap up at the end as well:
Missing lien releases are the most common reason allowance payments are delayed.
The relationship does not end at move-in:
A good contractor stays responsive through the warranty period.
It is approval from the building department that the space meets code and can be occupied for its intended use. Some jurisdictions issue a final inspection sign-off instead for tenant improvements.
They confirm that the contractor and every subcontractor and supplier have been paid, which protects the property from liens. Landlords usually require them before paying the allowance.
Many contracts include at least a one-year warranty on workmanship, with longer manufacturer warranties on equipment and materials. Check the contract for specifics.
